How to Request Deletion of Your KeepMyBooking Account

Business owners

If you own a business: Deleting your account will also delete any business where you are the sole owner. All upcoming appointments for that business will be cancelled and customers will receive full refunds.

Customers with upcoming bookings

Deleting your account will automatically cancel all upcoming appointments you booked as a customer. Refunds follow each business's cancellation policy (the same customer cancellation rules as in the app, including any cancellation fees). Affected businesses will be notified.

If you wish to delete your KeepMyBooking account and associated data, please follow these steps:

  1. Open the KeepMyBooking app on your device and sign in to your account.
  2. Go to Profile - Tap your profile icon or navigate to the Profile screen.
  3. Open Settings - Tap "Settings" (or the gear icon) from your profile.
  4. Go to Account section - In Settings, find the Account section.
  5. Delete Account - Tap Delete Account in the Account section. Confirm in the dialog. Your account and associated data will be deleted immediately.
  6. Alternatively, contact us by email - Send an email to [email protected] from the email address associated with your KeepMyBooking account. Include your full name and a clear statement that you wish to delete your account and associated data. We will verify your identity and process your request within 30 days.

What Data Is Deleted vs. Kept

When you request deletion of your KeepMyBooking account, we process your request as follows:

Data We Delete

We will delete or irreversibly anonymise the following personal data associated with your account:

  • Account Information: Name, email address, phone number, and password.
  • Profile Information: Profile photo, business name, business address, and business description (if you are a service provider).
  • User-uploaded images: Profile photos and any images you uploaded (removed from storage and database).
  • Firebase account: Your Firebase authentication account is deleted.
  • Upcoming appointments (customer): All upcoming customer bookings are cancelled automatically. Refunds depend on each business's cancellation policy, not a guaranteed full refund.
  • Business pages (sole owner): If you are the only owner of a business, that business page and its data are deleted. All upcoming appointments for that business are cancelled and customers receive a full refund.
  • Upcoming appointments (business owner): When your business page is deleted, all upcoming appointments are cancelled and customers receive a full refund.
  • Booking Information: Your appointment history, service selections, and booking notes.
  • Communication Data: Messages sent through our in-app chat between you and service providers or customers.
  • Device and Usage Data: Device identifiers, push notification tokens, and app usage data linked to your account.

Data We May Retain (Anonymised or for Legal Reasons)

We may retain the following in certain circumstances:

  • Anonymised User Details: For referential integrity (e.g., booking history), user details may be anonymised (e.g., "Deleted User", randomised email) rather than fully removed.
  • Anonymised Booking History: Aggregated or anonymised booking data (e.g., total number of bookings, service types) may be retained for analytics and improving our service. This data cannot be linked back to you.
  • Legal Retention: Where required by law (e.g., tax, accounting, or regulatory requirements), we may retain certain records for the period mandated by applicable law.
  • Dispute Resolution: Information necessary to resolve disputes, enforce our agreements, or defend legal claims may be retained until such matters are resolved.

Retention Period

After you submit a valid account deletion request:

  • In-app deletion: When you delete your account through the app (Profile → Settings → Account section → Delete Account), your account and associated data are processed and deleted immediately.
  • Email requests: If you request deletion by email, we will process your request within 30 days of verification. We will send a confirmation email to the address associated with your account once the deletion is complete.
  • Legal Exceptions: Where we are required to retain data by law, we will keep only what is necessary and delete it once the retention period expires.

Third-Party Services

KeepMyBooking uses third-party services (e.g., Stripe for payments, Firebase for authentication, AWS for storage). When we delete your account, we will request deletion of your data from these services where applicable. Some third parties may retain data according to their own policies (e.g., Stripe may retain transaction records for compliance). We encourage you to review their privacy policies if you have concerns.
